Privacy policy

Information we collect

• Account information: name, email address and role for each person we invite.
• Information entered in Baxter: properties, deals, vendors and their contact and payment details, bills, checklists and notes.
• Documents uploaded: such as bills, contracts and photos.
• QuickBooks data, once an administrator connects QuickBooks Online: the company name, expense accounts, classes and vendors, and the bills Baxter creates there. Baxter does not access bank or card transactions, payroll or reports.
• Activity: a record of changes made in Baxter, and server logs used for security and troubleshooting.

How we use information

• To run Baxter: tracking properties, approving and recording bills, sending approved bills to QuickBooks, and reading a bill's details from a document when someone asks.
• To keep Baxter secure and to fix problems.

We do not sell information, and we do not use it for advertising.

How we share information

• Service providers that operate Baxter for us: cloud hosting and file storage, database hosting, email delivery, error monitoring, and document reading. They use the information only to provide their service to us.
• Intuit, when QuickBooks is connected: Baxter sends each approved bill with its property, vendor and expense account, and deletes a bill it sent if that bill is voided in Baxter before anything is paid against it. Baxter does not record payments in QuickBooks.
• When the law requires it.

How long we keep information

For as long as we use Baxter. Financial records such as bills are voided rather than deleted, so the record of what happened stays complete.

How we protect information

Information travels over encrypted connections. Tax ids, bank details and the QuickBooks connection are also encrypted where they are stored, and account numbers are shown only as their last four digits outside the one screen that edits them. Each person sees what their role allows, and every change to a financial record is recorded.

Your choices

• To see or correct information about you, contact us.
• An administrator can disconnect QuickBooks at any time, in Baxter under Settings › QuickBooks or from QuickBooks' list of connected apps.

Cookies

Baxter uses only the cookies it needs to keep you signed in and to protect its forms. It uses no advertising or analytics cookies.
